Presence, Availability, Location and Notes in Skype for Business

How Your Outlook Calendar Can Update Your Presence

Your presence and availability is tied to your Outlook Calendar.  This means if a meeting is currently scheduled in your Outlook Calendar your Presence button will be coloured orange (this is the 'Busy' indicator) and your Availability Status will display 'In a Meeting'.

How Your Activity (Or Inactivity) Can Update Your Presence

If you are in an audio or video call or conference, Skype for Business automatically updates your Presence button to 'Busy' (orange) and your Availability Status will display either 'In a Call' or 'In a Conference'.

If your computer is left idle for a specified period of time, Office Communicator automatically updates your Presence button and Availability Status to show you as 'Inactive' (idle for 5 minutes by default) or 'Away' (idle for 15 minutes by default).

  • You will automatically see the availability of colleagues when reading emails.
  • When you enter a name in the To: field of a new email you will also see their presence status displayed beside the name.
  1. Select Presence button (the coloured circle displayed next to your name)
  2. Select the required Presence status

  3. Press Enter
