Bulk Purchase of Software Licenses at UniSA

If the use of a software application is widespread across the University, with multiple Schools/Divisions/Units accessing the app, then it may be economical to purchase a site license.

Site licensing is the process of combining all the individual purchases of a software package into one bulk purchase or purchasing them using the one account.  Software companies licensing procedures vary greatly so please use the following as a guide only.

NOTE: Centrally licensing software does not absolve the Unit/School/Division of the need for funding the software.  If your Unit/School/Division does not have the funds for the software then site licensing will not help as the funding will still need to come from the areas that uses the software.

If you are interested in purchasing site software for your Division/Unit please follow the steps below:

  1. Speak to your counterparts in another Division to see if they are interested in licensing the software as well. If the software doesn't apply to other Divisions or there is no interest from anyone then it is unlikely the software will be site licensed University wide.  It may be worth speaking to IT Help Desk and following steps 2 and 3 as it may be possible to license the software at a Divisional or School level.
  2. Confirm with IT Help Desk how widely utilised the software package is in your School/Division/Unit. Please log as a service call to the IT Help Desk for this request.
  3. Total the cost of the software if it is currently being used by you School/Division/Unit.
  4. If there were others that were interested in site licensing that particular software (from step 1) ask your counterpart in the other School/Division/Unit to go through Steps 2 and 3.
  5. Ask IT Help Desk to find out what options the software vendor has for licensing the software on a larger scale.  Please log as a service call to the IT Help Desk for this request.
  6. If required please raise a service call with the IT Help Desk to arrange the following with Information Strategy & Technology Services (ISTS).  If an arrangement can be worked about between the Schools/Divisions/Units that use the software ISTS (central IT unit) can provide the following services for site licensing:
    1. Central recording of software in software asset database (SWAMP)
    2. Central processing of software requests via the IT Help Desk
