How do I share files with Registered Accounts?
Web Sharing to Registered Account
- Open the Web application as normal by logging in at the following address: https://rds.unisa.edu.au/
- Locate the folder that you wish to share and click the share icon, under the sharing subsection type in the known registered email address of a NextCloud account.
- It will attempt to auto complete the address for you, select it. You can share with multiple recipients.
- Select the 3 dots at the end of the shared folder recipient name to reveal the sharing permissions that you want to provide.
- Can Edit is an overall option that if un-ticked will disable Create, Change and Delete rights for that share. The sharee will only be able to VIEW/READ what is shared with them.
- Can Re-share is a powerful option and allows the sharee to re-share with anyone.
- Set Expiration Date is the final option of note that will allow your share to unshare itself at a specific date.
Desktop Sharing to Registered Account
- If you don't have NextCloud installed on your machine, then you will need to do so from this link:
- Open your NextCloud folder by right clicking on your NextCloud system tray icon
- Or by navigating directly to the folder - the directory is usually:
- C:\users\<yourusername>\Nextcloud
- Right click on the folder that you want to share and select Share with NextCloud
- When prompted type in the known registered email address of a NextCloud account. It will attempt to autocomplete the address for you.
- As you can see below there are multiple permissions that can be provided. Be mindful of these if the data is sensitive or important.
NOTE:
- If they only need to see the data then untick Can Edit this is an overall option that unticks change, create and delete.
- If you do not want them to be able to re-share your folder with other people untick Can Share.
- If you do not want them to be able to delete files within the shared folder but do want them to edit - untick delete
- As you can the sharing functionality is reduced in the desktop client but is good for quick and simple sharing. You can always log into the web client later to fine tune it if necessary.
Mobile Device Sharing (Android) to Registered Accounts
iOS device functionality is slightly different but follows the same principles.
- Open your mobile application and click the share icon
- When prompted type in the known registered email address of a NextCloud account. It will attempt to autocomplete the address for you, select it. You can share with multiple recipients.
- The sharing options are similar to the desktop client.
- Unticking Edit will disable create change and delete permissions
- If you do not want them to be able to re-share your folder with other people untick “Can Share”.
- With the mobile client you can configure auto uploads. This will automatically upload Media that you take with your phone. Choose Auto Upload from the menu.
How do I Share Files with Non-Registered External Accounts?
- Locate the folder that you wish to share and click the share icon, under the sharing enter the external email address of the recipient. Note that when it resolves the address it has (email) written after it.
- The sharing options available to you are slightly different for unregistered accounts.
- It will automatically create a password to access the share and it will send this password as an email to the recipient.
- Can Edit is the same, unticking will prevent the sharee from touching any files, nor will they be able to upload anything to the folder. They can only VIEW.
- File Drop (Upload Only) allows the sharee to only upload files via their web interface. They can not VIEW or CHANGE files.
- Set Expiration Date is the same.
- When a sharee receives a share from you via this method they will receive two emails.
- They will need to copy the password from one email.
- Then Click on the link in the other email.
- Their browser will open and ask them for the password. They need to paste it in and press the arrow.
- They will be then logged into the portal and have the access that you have given.
