Zoom Rooms Guides

Find below quick help guides on using Zoom Rooms within UniSA. These new systems are replacing the Polycom systems that are installed in some lecture theatres, as well as extending functionality for tutorial rooms.

 

Zoom Rooms are integrated into the room audio-visual system that provides an integrated experience for audio conferencing, wireless screen sharing, and video conferencing.

 

Within the room, locate the 10" touch panel at the lectern or setdown point.

Presenting from the provided PC

  • Simply select "AVPC" button on the touch panel. The display/projector, video and audio systems will power up automatically after a short delay.

Presenting from your own device (BYOD)

  • Select the "Laptop" button on the touch panel. The display/projector, video and audio systems will power up automatically after a short delay.
  • Connect your device via the provided USB-C cable, in the cablebox on the lectern.
  • You laptop will now be displayed on the screen and audio heard through the speakers. Power is provided to your device, as well as access to the cameras and mics as USB peripherals.

Presenting using Zoom Rooms

  • Locate the 27" Zoom Rooms touch screen, this will be alongside the preview monitor on the lectern or setdown point. You do not need to log into the device, its logged in as the room.
  • If you want to start an adhoc Zoom meeting, select "Start Meeting" from the screen. The audio visual system will turn on automatically. 
  • If you already have a Zoom meeting running, you can invite the room to the call, which will then ring in the room. Select Join on the Zoom Rooms touch screen to join the call.
  • If you have a Zoom meeting that you would like to start from the room, select Join on the touch screen, then enter your meeting ID.

Once you have completed your session, please ensure to turn the system off to conserve power and leave the room ready for the next user.

Simply go to the touch panel that you used to start the system and select the "Power Off" button. 

If you are in a Zoom Rooms meeting, you can leave or end the call from the Zoom Rooms touch screen and the system will power down automatically.

Using the PC with the AV system

The installed PC, is generally installed in the rack and accessible via the front door cut out.

If you find that you have started the AV system, but there is no display you may want to try and wake the PC (by clicking the mouse or keyboard)

If the above did not work, the PC may be powered off. Simply press the power button on the front of the PC in the rack.

Connecting a USB storage device

If you have files that are not accessible via the UniSA network, you can connect a USB storage device (ie USB harddrive or thumb drive) to the computer to access your files.

Once logged into the PC, simply connect your USB to the USB slots on the AVPC monitor or to the front panel of the PC in the rack.

Using the Camera and Microphones for Video Conferencing

If you are unable to use the Zoom Rooms system in the room (ie for a teams, bluejeans meeting), you can utilise the cameras and microphones in the room from the PC. Once you have selected the AVPC button from the touch panel, these peripherals will appear on the PC as USB devices.

Using your device with the AV system

A USB-C Cable is provided to allow you to connect your device or laptop to the audio visual system. Connect to your device and ensure that Laptop has been selected on the touch panel.

If you find that you have started the AV system, but there is no display you may want to try another USB-C port on your device.

Using the Camera and Microphones for Video Conferencing

If you are unable to use the Zoom Rooms system in the room (ie for a teams, bluejeans meeting), you can utilise the cameras and microphones in the room from your device. Once you have selected the Laptop button from the touch panel, these peripherals will appear on your laptop as USB devices.

To control the two in room cameras, use the camera control section on the touch panel. You can pan, tilt and zoom the camera to focus on what you like.

You can flip between the front and rear camera by pressing the camera flip button on the right of the position controls. This will change the camera on your selected device (PC, laptop or Zoom Rooms)
