Executive & Executive Assistant Services

The Executive & Executive Assistant services can be used by VIP's to monitor calls.

The Executive & Executive Assistant services allow an Executive [AM1]  to select from a Pool of Executive Assistants, who have been assigned the Executive Assistant service within WebEx and can answer, or place calls on their behalf.

  • Executives can apply filters and set up screening based on call origination.
  • Executives can assign schedules for when calls should be handled by the designated assistants.
  • Executive Assistants can set the call forward destination and choose to opt-in or opt-out of an executive’s pool.
  1. Log into https://settings.webex.com/ with your UniSA email address
  2. Select WebEx Calling from the top menu
  3. Select Call Settings from the left side menu
  4. Select Additional Features from the top menu

The executive can configure the following Executive service options:

  • Assistants
  • Filtering
  • Alerting

Assistants – The Executive can create a list of Executive Assistants. The list of assistants is ordered for sequential alerting purposes, and all Executive Assistants must be within the same campus as the Executive

 

Filtering – The Executive can configure whether filtering is enabled. Once enabled the Executive can decide, which calls should go to their Executive Assistant, Examples:

  • All Calls go to my Executive Assistant
  • All External Calls go to my Executive Assistant
  • All Internal Calls go to my Executive Assistant
  • Custom: Calls from ‘Custom Number’ [AM1] during my Scheduled Work hours go to my Executive Assistant.
  • Custom: Calls from Private & Unavailable numbers go to my Assistant.

A staff member becomes an assistant when they have been assigned the Executive Assistant service. The assistant can then configure the following Executive Assistant service options:

Divert – The Executive Assistant can configure whether the divert option is enabled, and the address to divert filtered calls to. e.g., An Executive Assistant might divert filtered calls when away from their desk or offsite.

Opt-in/Opt-out – An Executive Assistant can either Opt-in/Opt-out to assist an Executive. e.g., An Executive Assistant might Opt-out when taking leave.
